Workspace tags and lists

These Settings items are small building blocks for organizing customers and tickets. They look similar on screen, but each one has a different everyday job.

You create them once in Settings. Your team then picks them while chatting, editing a contact, creating a ticket, or building a Broadcast audience.

Quick meaning of each type

Name in SettingsEveryday meaningWhere you will see it later
LabelsSticky notes on a contact (VIP, Angry, Wholesale)Contact page, Inbox contact panel, Broadcast conditions
ListsGroups of people (Summer campaign, VIP buyers)Contacts sidebar, Broadcast By List, bulk moves

Example: A fashion shop creates Label VIP, List Newsletter, Lifecycle stage Customer, and Ticket type Exchange. Staff apply them without inventing new names each time.

Open a tag page

  1. Go to Settings.
  2. Under Tags, click the type you need (for example Labels or Lifecycle stage).
  3. You will see a searchable list of existing items.

Create a new item

The steps are almost the same for every type:

  1. Click Add (the button shows the type name, such as Add Labels).
  2. In the dialog:
    • Enter a clear Display name (what people read)
    • Pick a Color so the list is easy to scan
  3. Click Create tag.

ScaleFlow also keeps a short internal name based on your display name. You usually only need to care about the display name and color.

Edit, reorder, or delete

ActionHow
EditOpen the item, change display name or color, click Update tag
ReorderDrag the handle (if your role allows managing contacts) so important stages appear first
DeleteChoose delete and confirm Delete this tag?

Be careful when deleting: items already used on contacts or tickets may disappear from filters or look empty until you assign a new value.

Practical tips

  1. Keep names short and familiar to your team (VIP, not Very important person level 1 gold).
  2. Agree on Lifecycle stages early — they also appear as Inbox filters.
  3. Create Lists before big Broadcasts so audience picking is easy.
  4. Match Ticket types to how managers want to read Analytics.
  5. Do not create dozens of nearly identical labels — people will stop using them.
